This Privacy Policy explains what information we collect, why we collect it, who we share it with, and what control you have over it. 1. Information We Collect

Information you give us

When you request a quote, book a walkthrough, contact us, or become a client, we collect the information you provide. This typically includes:

Name, business or agency name, and job title

Email address and phone numbers

Service address, property address, and billing address

Property details such as square footage, facility type, number of units, and desired service frequency

Access information necessary to perform the work, including gate codes, alarm codes, lockbox codes, key assignments, and authorized-contact lists

Billing and payment information

Any information you include in a message, work order, or scope discussion

Information collected automatically

When you visit our website we automatically collect technical information including your IP address, browser type and version, device type, operating system, pages visited, time and date of your visit, time spent on pages, and referring URLs. This is collected through cookies and similar technologies described in Section 6.

Information collected at your property

When we perform services, we necessarily observe and record information about the premises. This includes the condition of the space, work completed, and photographic documentation as described in Section 3.

Employment applicants

If you apply to work with us, we collect application information, employment and reference history, and — as a condition of employment — background check results obtained through a third-party screening provider. Applicant information is used solely for hiring and employment purposes and is retained separately from client information.

2. How We Use Your Information.

We use the information we collect to:

Schedule and perform walkthroughs, prepare bids, and document scopes of work

Deliver, schedule, supervise, and verify cleaning services

Communicate with you about quotes, appointments, service changes, work orders, and account matters

Process payments, issue invoices, and collect amounts owed

Respond to solicitations and furnish documentation such as W-9s, certificates of insurance, and capability statements

Maintain quality control, resolve service disputes, and investigate damage or loss claims

Comply with legal, contractual, insurance, and regulatory obligations, including recordkeeping required under government contracts

Send service-related and, where you have consented, promotional communications

Improve our website, operations, and service offerings

3. Photographic Documentation

We photograph work areas before and after service on every job. These images are part of how we verify that work was performed to the documented scope, protect both parties in the event of a damage or loss claim, and maintain quality control.

How we handle job photos:

Images are limited to the areas within the agreed scope of work.

Images are stored in your account file and are available to you on request.

We do not use client job photos in marketing, on our website, or on social media without your prior written permission.

We instruct our personnel not to photograph identifiable individuals, documents, screens, or personal effects. If such material appears incidentally in an image, we remove or crop it when identified.

For facilities with security, confidentiality, or classification restrictions, photo documentation protocols are set in writing before service begins and follow your facility's requirements. Where photography is prohibited, we substitute written verification.

If you need photo documentation limited, restricted, or discontinued for your property, tell us in writing and we will adjust the protocol.

4. Text Messages and Phone Calls

By providing your phone number and consenting on our forms, you agree that we may contact you by phone call and text message regarding quotes, scheduling, service updates, work orders, billing, and — where you have separately consented — promotional offers.

We do not sell, rent, or share mobile phone numbers or SMS consent information with third parties or affiliates for their own marketing purposes. Mobile opt-in data and consent are never shared with third parties for marketing.

Message frequency varies based on your account activity.

Message and data rates may apply.

Reply STOP to any message to opt out of text messages at any time.

Reply HELP for assistance, or call us at the number in Section 12.

Carriers are not liable for delayed or undelivered messages.

Opting out of text messages does not opt you out of phone calls or email, and does not affect service-critical communications we are required to send regarding scheduled work.

5. How We Share Information

We do not sell your personal information. We share information only in the following circumstances:

Service providers. Vendors who perform functions on our behalf — payment processing, invoicing, scheduling and customer relationship software, background screening, communications platforms, and accounting. These providers are permitted to use your information only to perform services for us.

Personnel and subcontractors. Our employees and any approved subcontractors receive the information necessary to perform your service, including address and access information. Subcontractors are bound by confidentiality obligations no less protective than this policy.

Insurers and claims administrators. Where necessary to process a damage, loss, or liability claim.

Government and institutional clients. Where required by contract, we furnish personnel information such as names and background-check clearance status for badging, site access, and security screening, consistent with the agency's requirements.

Legal compliance. When required by law, subpoena, court order, or valid government request, or where we believe in good faith it is necessary to protect our rights or property, prevent fraud or wrongdoing, or protect the safety of any person.

Business transfer. In connection with a merger, acquisition, financing, or sale of assets, in which case we will provide notice before your information becomes subject to a different privacy policy.

With your consent. For any other purpose you authorize.

6. Cookies and Tracking Technologies

Our website and forms use cookies and similar technologies for necessary site functions, to remember your preferences, and to measure site traffic and performance. We may use analytics and advertising services that place cookies on your device and collect information about your browsing activity.

You can set your browser to refuse cookies or to notify you when one is sent. If you refuse cookies, some parts of our website and certain forms may not function properly. You can opt out of interest-based advertising through the Digital Advertising Alliance at optout.aboutads.info or the Network Advertising Initiative at networkadvertising.org/choices.

7. Payment Information

We accept credit cards, debit cards, EFT/ACH transfers, corporate checks, and wire transfers. Card and ACH transactions are processed by third-party payment processors that adhere to PCI-DSS standards. We do not store full payment card numbers or complete bank account credentials on our systems. Information you provide during a transaction is handled under the processor's own privacy policy in addition to this one.

8. Data Retention

We retain information for as long as necessary to provide services, maintain business records, comply with legal and tax obligations, resolve disputes, and enforce our agreements.

Client account and service records: retained for the duration of the relationship and for the period required by applicable law, tax rules, and contract terms.

Job photographs: retained for a rolling period sufficient to support quality assurance and claims, generally not less than twelve months, and longer where a contract requires it or a claim is pending.

Access credentials such as codes and key assignments: destroyed or returned promptly upon termination of service.

Government contract records: retained for the full period required by the applicable contract and federal or state records requirements, which may exceed the periods above.

9. Security

We use commercially reasonable administrative, technical, and physical safeguards to protect the information we hold, including restricted access to client records and access credentials, confidentiality obligations for personnel, and background screening of staff who enter client premises. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Your Rights and Choices

You may:

Request access to the personal information we hold about you

Request correction of inaccurate information

Request deletion of your information, subject to records we are required to retain by law, contract, or insurance obligation

Request a copy of the job photos associated with your property

Restrict or discontinue photo documentation at your property

Opt out of marketing email by using the unsubscribe link in any message

Opt out of text messages by replying STOP

To exercise any of these, contact us using the information in Section 12. We may need to verify your identity or your authority to act for a property before responding.

11. Children's Privacy

Our website and services are directed to businesses and to adults. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us information, contact us and we will delete it.

12. Third-Party Websites

Our website may link to sites we do not operate. We are not responsible for the content or privacy practices of those sites, and we encourage you to review their policies.
